The Q4 Operating Cadence for a Solo Coach

Weekly and monthly rhythms that protect the hour in the loudest quarter. Not a new stack.

Q4 cadence

Q4 will try to turn you into an events company. The stack does not need a new layer. Notion does not need a rebuild. Boundaries will fail if they have no calendar. This is rhythm: weekly and monthly blocks that protect the hour. Use last week’s Q3 money review and the September scoreboard as inputs, not as a reason to start a new app.

Why Q4 Eats Cadence

More “quick calls.” More parties. More “while I have you.” If the week has no named blocks, the hour becomes leftover. Leftover hours are how December you hates October you.

The fix: put the table on the calendar before you sell another seat.

Weekly

Sunday reset stays. Delivery hours stay sacred — no “I’ll just answer this.” One admin block. If admin overflows, you cut a task, not a session. The product is the hour.

If a week has a holiday, shrink admin, don’t steal Sunday.

Monthly

Money Monday: what collected, what failed, who is underpriced. Roster Friday: every active name gets continue / pause / complete. That’s it. No retreat.

What Most Coaches Get Wrong

They invent a Q4 “content push” and then wonder why sessions feel thin. Content is optional. Cadence is not.

They also skip roster Friday because it feels like sales. It is hygiene. Ghosts hide in skipped Fridays.

They buy a new planner. The calendar you have is enough.

A Worked October Week

Sun 25: reset. Mon–Thu: booked hours only. Wed 11:00 admin. No Friday clients if you need recovery. First Monday in November: money. Last Friday in October: roster before Halloween week hits.

Write it once. Repeat it. The loud quarter is when boring wins.

Scripts for the Blocks

Sunday: “At-risk names, then prep blocks. No inbox.” Admin: “Invoices, reminders, recaps. 45 minutes. Then close the tab.” Money Monday: “Collected, failed, underpriced. One raise name.” Roster Friday: “Every active name: continue, pause, complete.”

If a block slips, you do not double the next one. You cut a task. Doubling is how cadence becomes a weekend project.

Protect delivery hours like client hours — because they are. A Slack ping during a session is a scope miss, not a badge.

Write Q4 dates now: Thanksgiving week, the week of Christmas, New Year. Those weeks get a thinner cadence, not a surprise collapse.

If someone asks for a Friday “quick hop,” the answer is the next admin block or the next paid hour — not a third kind of time. Third kinds of time are how Q4 erases Sunday. Tell them which block. Put it on the calendar in front of them.

Review the cadence after Halloween week. If three resets slipped, the problem is sold hours, not discipline. Cut a seat in November. Do not buy a planner.

When DIY Isn’t Enough

When reminders, recaps, and invoices still live in your head, cadence becomes a wish. Launch / Grow / Scale can put those on rails. You still have to refuse the Friday “quick hop.”
